Visitors to Campus

Sponsoring Events

Many of our Upcoming Events present great opportunities for sponsorship for recruiters or any of our local companies who serve prehealth students. Here are a few guidelines for these opportunities and a list of ways Dr. Chuck and Mason Events Management will help with organizing these events.

Open programming

Programs are open to all interested Mason University members. Unless a program is sponsored by a student organization for their own members, any interested Mason student, faculty member, or administrator should be able to attend the program.

All programming must conform to the educational mission of George Mason University, as dictated by University Policy.

Publicity

All events that are run will be publicized on the Upcoming Events calendar on this website as soon as confirmation for a venue is made. Other efforts will be made to publicize this event using listservs and the student-specific WebCT website.

Most of the available venues comfortably hold 35 people, but larger venues can be requested if enough time is given for the request.

Posters and signs may be flyered on campus as long as the procedures are in compliance with University Policy. Dr. Chuck will not be putting up these flyers.

Pre-registration

Unless you have other preferences, Dr. Chuck will encourage students to pre-register so that appropriate accommodations are made for space and any food.

Computing Services

George Mason University is served by a wireless network. Use of that network by non-Mason visitors must comply with University policy. Anyone who requires access should contact Events Management for direction.

Catering

These are the University regulations regarding food and beverage purchases. As a result, it is strongly preferred that non-Mason organizations and not the Health Professions Advising office subsidize the costs for catering if Dr. Chuck himself is not the subject of the meeting. Student organizations that sponsor an event may sponsor for catering as long as they conform with University regulations.

Food is always a great draw for students and alumni. We will strongly encourage catering when a minimum of 20 students pre-registered. If you are not using Sodexho (on-campus catering), please use someone from Mason's list of approved caterers. Ask your caterer to be sensitive to the diverse culinary preferences of our students including vegetarian, kosher/halal, and reduced-sugar/diet/allergen-sensitive foods and beverages.

It is the preference of the Health Professions Advising Office that alcohol should NOT be served at these events.

Audio and Video Recording

Many of our programs will likely be recorded for the benefit of students unable to attend the event. Prior to an event, every effort will be made to secure permission from participants of our programs so that these recordings can be produced. Participants may elect not to be recorded at their discretion.

Giveaways and Gifts

The focus for any event is always on the students. Don't hesitate to bring any giveaway items with your brand.

If you have a prize that can be raffled away, please let Dr. Chuck know. It is Dr. Chuck's preference to raffle prizes away to pre-registered students to encourage students to pre-register. Obviously the more available prizes, the more interested students are to register. Only one entry per pre-registered student would be allowed, and egregious abuse of the pre-registration process will disqualify a student from consideration.

Any gifts given to specific students (like student organizations officers) or to Dr. Chuck must be appropriate in value and should be made without any expectation of reciprocity. Ideal gifts serve a genuine educational function and can be interchangeable with other work-related materials (like pens or notepads). Dr. Chuck will usually give away many small gifts he has received to students at future events.
